NIF guide · Updated October 2026
What documents do you need for a Portuguese NIF?
A Portuguese NIF is a nine digit tax number issued by the tax authority, the Autoridade Tributaria. The document list behind it is short. Most people need just two or three items, and most rejections come from getting one of those items slightly wrong. This page is the full list for every route: in person, online through a representative, and for children. For the big picture of all three routes, start with our main NIF guide. For the filing steps on the online route, see our guide to getting a NIF online.

Key takeaways
- →Most adults need two things: an unexpired passport or EU national ID, and proof of a foreign address issued within the last 3 months. A third item, a signed power of attorney, is added only when someone files on your behalf.
- →The 3-month rule on proof of address ends more applications than any other single problem. Check the issue date on the bill or statement before you send it, not after the rejection arrives.
- →A power of attorney needs an officially recognised signature, unless it is granted to a lawyer or a solicitador acting in that capacity. That exception is the one detail most online guides get wrong.
- →In person, documents must be originals or certified copies. Simple copies are accepted only when shown together with the originals. Online, clear colour scans are the standard, and photos of a screen are rejected by some providers.
- →You do not need a Portuguese address to get a NIF. The number is issued against your foreign address, and you update it later when you become a Portuguese tax resident.
The complete list at a glance
The tax authority publishes one core list, and the route you take decides which extra items join it. Nothing else is routinely asked for. If a provider asks you for bank statements about your income, a CV, or a letter explaining why you want a NIF, that is the provider's own onboarding, not a tax authority requirement. Ask what it is for before you hand it over.
| Document | Who needs it | The rule that matters |
|---|---|---|
Passport or EU national ID | Everyone | Unexpired, with every detail legible. A driver licence is not accepted as identity. |
Proof of your foreign address | Everyone, unless the address is printed on your ID | Issued within the last 3 months, with your full name and address on it. |
Signed power of attorney | Anyone applying through a representative | Signature officially recognised, unless the representative is a lawyer or a solicitador acting in that capacity. |
Representative's own ID | Anyone applying through a representative | The person filing for you must also prove who they are. |
Entry visa in your passport | Third-country nationals applying in person | Needed when you apply yourself at a tax office, unless your nationality is visa exempt. |
Birth certificate | Children without a passport, and minors generally | Needed to prove identity and the parent relationship. A certified translation is needed when it is not in English, Spanish, French, or Portuguese. |
Your passport, and what counts as identity
The tax authority asks for a civil identification document. For most readers that means a passport. EU citizens can use a national ID card instead. The document must be unexpired, and every detail on it must be legible: your full name, your date of birth, the document number, and the photo page. A scan that cuts off an edge or blurs a number is a rejection waiting to happen, and it is the easiest one to prevent.
A driver licence does not count as identity here, even though it works fine as proof of address. That distinction trips up a lot of applicants, because the same document plays both roles in other countries. For the NIF, identity means a passport or a national ID card, and nothing else.
Scan quality matters more than people expect. Use a flat colour scan of the photo page, not a phone photo of a screen and not a photo taken at an angle in poor light. Some providers state a 300 dpi minimum. Even where no number is published, the test is simple: if you have to squint to read it, the tax authority will send it back.
Proof of your foreign address
This is the document that causes the most trouble, and the rules are stricter than they look. The proof must show your full name and your address outside Portugal, and it must have been issued within the last 3 months. A utility bill, a bank statement, and a driver licence are the usual three. A rental agreement or an official letter from a bank or a government body works when it carries the same details and a recent date.
The 3-month clock runs from the issue date on the document, not from the date you downloaded it or the date you applied. A bank statement covering six months still fails if it was issued four months ago. Check the date printed on the document itself before you send it. If your newest bill is already close to the limit, get a fresh one first. Waiting a week for a new statement is far cheaper than losing a week to a rejection round.
One exception is worth knowing. If your address is already printed on your identification document, the tax authority does not ask for a separate proof of address. That helps EU citizens whose national ID cards carry an address. For most passport holders it does not apply, because passports do not carry an address, so plan on supplying the proof.
Do not use a Portuguese address you do not genuinely live at. The NIF is issued as non-resident against your foreign address, and that is the correct starting point. Borrowing a friend's Lisbon address, or using an address from a short stay, creates a false tax record that follows you into visa renewals and bank files. When you move and qualify as a Portuguese tax resident, you update the address then, through the portal or at a tax office. See our guide to updating the address on an existing NIF for each kind of move and its deadline.
The 3-month rule kills more applications than anything else
The power of attorney
The power of attorney, or procuracao, is the document that lets someone else file for you. It is only needed on the representative route. If you walk into a tax office yourself, you do not need one at all. When a representative files online, the tax authority needs two things from this document: proof that you granted the power, and proof that the signature on it is yours.
The signature rule is where the detail matters. The signature on the power of attorney must be officially recognised, which usually means a notary or the equivalent certification in your country. There is exactly one broad exception. When the power of attorney is granted to a lawyer or a solicitador identified as acting in that capacity, no signature recognition is needed. Many online services are run by or through lawyers, which is why some of them can accept a digitally signed form with no notary visit. If your provider is not a lawyer or a solicitador, do not assume the same shortcut applies to you.
The power of attorney must also grant the right powers. A general authorisation to handle your affairs is not enough on its own. It must cover requesting the NIF. And if the same person is to stay on as your ongoing fiscal representative, the document must say that explicitly, because the tax authority treats the filing role and the fiscal representative role as two different jobs. Our fiscal representative guide explains that distinction in full. The separate question of who actually needs a representative for the number is answered in our NIF-specific guide.
The representative must also present their own civil identification document. A filing with your documents but no proof of who the filer is will not go through. When you pick a provider, that is one of the quiet signs of a serious operation: they show you their credentials instead of asking you to trust a brand name. Our NIF power of attorney guide covers the document on its own, including the signature traps that send filings back and the exact powers the document must grant.
In person: the extra document
Applying in person at a tax office or a citizen shop adds one item for some applicants and one format rule for everyone. Third-country nationals applying in person need a valid entry visa for Portugal or the Schengen area shown in the passport, unless their nationality is visa exempt. That requirement applies to the person standing at the counter. It does not apply to the online route, where the representative files from Portugal and you stay at home.
The format rule is stricter in person than online. Documents presented at a tax office must be originals or certified copies. A simple photocopy is accepted only when you show the original alongside it. If you are travelling to Portugal for the appointment, bring the originals in your bag, not just prints. An appointment is booked in advance through the Portal das Financas or by phone, and turning up without the originals wastes the slot.
What changes by route
The list does not change much between routes, but the combination does, and getting the combination right is the whole game. The table below is the quick version. If your situation matches more than one row, you need the documents from each row that applies to you.
| Route or situation | Documents you need |
|---|---|
In person at a tax office | Passport or EU ID, proof of foreign address, plus an entry visa for third-country nationals. Originals or certified copies. |
Online through a representative | Passport scan, proof of foreign address, and a signed power of attorney. The representative files through the e-balcão channel and attaches their own ID. |
EU or EEA citizen | National ID or passport, and proof of address. No representative is needed to apply, in person or through the online channel. |
Applying for a child | The child's passport or birth certificate, the parent's ID, and proof of address. Both parents sign the power of attorney when a representative files. |
Language and translation rules
Documents in English, Spanish, French, or Portuguese are accepted without translation. That covers most applicants, and it covers passports in practice even when the issuing country uses another language. Anything outside those four languages needs a certified translation, presented as a certified copy. Certification can come from a notary, a recognised chamber of commerce and industry, a lawyer, or a solicitador.
The practical point is timing. A translation is not a same day job when it also needs certification, and it is not something to leave until after you have paid a provider and started the clock. If your proof of address or your birth certificate is in another language, get the translation done first, then start the application. Our certified translator directory lists providers who handle this kind of document.
Children and families
Every child gets their own nine digit NIF. There is no family number and no minimum age. For a child with a passport, the file looks much like an adult file: the child's passport, proof of address, and the parent's ID. For a child under 10 without a passport, a birth certificate stands in for the passport. When a representative files for a child, both parents sign the power of attorney, and the birth certificate also proves the parent relationship, which matters when surnames differ or custody is shared. File the whole family together if you can. It keeps the address record consistent and saves a second round of paperwork. For the full family picture, including why both parents sign and what the numbers earn on your IRS return, see our NIF for minors and families guide.
Companies
A company does not get a personal NIF. It gets its own company tax number, the NIPC, when it is incorporated, and that process has its own document set around registration and articles of incorporation. What belongs on this page is the part people miss: every director and every shareholder still needs a personal NIF first. If you are setting up a company, get the personal numbers sorted before the incorporation file starts, or the company file stalls waiting on them. Our guide to company tax numbers explains the NIPC and the incorporation routes in full.
The traps that cause rejections
Stale address proof. The single most common rejection. The document was fine when it was issued and old by the time it was sent. Check the date, then send it.
Name mismatch. The name on your proof of address must match the name on your passport. Married names, middle names, and shortened first names all cause trouble. If the documents disagree, fix the proof of address before you apply. Correcting a registered name after the NIF is issued is a separate bureaucratic exercise, and banks stall account openings over it.
Unrecognised signature. A power of attorney signed at home and sent without certification, to a representative who is not a lawyer or a solicitador, will come back. Confirm the signature rule with your provider in writing before you sign.
Screen photos. A photo of a document on a monitor, a cropped image, or a scan with a cut off edge all read as unreliable. Flat colour scans, full page, nothing cropped.
Wrong address entirely. A Portuguese address used by a non-resident, or an address that belongs to someone else, creates a false record. Use your real foreign address and update it when you genuinely move.
Missing representative ID. Your file is not complete without proof of who is filing it. If a provider never asks for their own representative's details, ask how they file.
Before you send: five checks
Run through these five checks with the actual documents in front of you, not from memory. First, your passport is unexpired and the scan shows the full photo page clearly. Second, your proof of address was issued within the last 3 months and the name on it matches your passport. Third, your power of attorney covers requesting the NIF, and the signature is recognised unless your representative is a lawyer or a solicitador. Fourth, anything outside English, Spanish, French, or Portuguese has a certified translation attached. Fifth, if you are applying in person as a third-country national, your passport shows a valid entry visa or your nationality is visa exempt.
Price and timing are separate questions from this list, and each has its own page. The NIF itself carries no government fee, and what services charge for the filing is covered in our price comparison. Timelines run from 3 to 10 working days on the online route once documents are accepted, with each rejection round adding 3 to 5 days. That is why this page exists: a clean file on the first submission is the fastest route there is, and it costs nothing extra.
When the number arrives, check it before you use it. The certificate is a signed PDF with a validation code you can verify on the Portal das Financas. Confirm the name spelling and birth date against your passport, then use the number for the bank account, the lease, and the visa file. A mistake caught at this point is a correction. A mistake caught by a bank is a delay.

Frequently asked questions
What documents do I need for a Portuguese NIF?
An unexpired passport or EU national ID, and proof of your foreign address issued within the last 3 months. If someone files on your behalf, add a signed power of attorney and the representative's own ID. Third-country nationals applying in person also need a valid entry visa in the passport, unless visa exempt.
How recent must proof of address be for a NIF?
Less than 3 months old, measured from the issue date printed on the document. A utility bill, bank statement, or driver licence all work, as long as they show your full name and foreign address. A document issued four months ago fails even if it covers a recent period.
Does the power of attorney signature need to be notarised?
Yes, unless it is granted to a lawyer or a solicitador identified as acting in that capacity. In that case no signature recognition is needed. If your representative is not a lawyer or a solicitador, get the signature officially recognised before you send the form.
Can I use a driver licence instead of a passport for a NIF?
No. A driver licence works as proof of address but not as proof of identity. Identity means a passport or, for EU citizens, a national ID card. Sending a driver licence as your ID document will get the file sent back.
Do documents need to be translated for a NIF application?
Documents in English, Spanish, French, or Portuguese are accepted as they are, and passports are accepted in practice. Documents in any other language need a certified translation, certified by a notary, a recognised chamber of commerce, a lawyer, or a solicitador.
What documents does a child need for a NIF?
The child's passport, or a birth certificate for a child under 10 without a passport, plus the parent's ID and proof of address. When a representative files, both parents sign the power of attorney. Every child gets their own nine digit NIF, and filing the whole family together keeps the records consistent.
Do I need a Portuguese address to apply for a NIF?
No. The NIF is issued as non-resident against your foreign address. Do not use an address you do not genuinely live at. When you move to Portugal and qualify as a tax resident, you update the address with the tax authority then.
